Learn it in stages

Beginner · Build an audit trail

For every material return figure, be able to move backwards from the submitted number to the calculation, ledger/category and underlying invoice, statement, contract or other source evidence. Keep business and private items distinguishable.

Intermediate · Retention and digital records

Retention periods differ by tax and circumstance. VAT has specific record requirements; Self Assessment and company records have their own rules; MTD can add digital-record requirements. Keep records longer where a late return, enquiry or other rule requires it.

Advanced · Corrections and uncertainty

When an error is found, identify the affected period, tax and return, preserve the correction trail and use the appropriate amendment/correction route. Distinguish estimated/provisional figures and update them when required rather than silently overwriting evidence.

Enquiries · Be able to explain the return

An enquiry or compliance check is easier to manage when the return reconciles to records, decisions are documented and supporting evidence is indexed. Keep notes for judgement calls, relief claims and unusual transactions.

Example: one figure, complete evidence trail

A VAT Box 4 input-tax figure should reconcile to the VAT account, which should reconcile to eligible purchase transactions, each supported by appropriate evidence. Common mistakes to avoid

  • Keeping only bank statements and assuming they explain every tax treatment
  • Deleting original evidence after entering totals into software
  • Failing to document why a relief or judgement was applied
